ELEMENTALS

Always answered.

Somebody asks what you charge for a capacitor at nine at night, on a Sunday, or while every line is tied up — and gets a real answer instead of voicemail. It works from your material: your pricing, your service area, your warranty, your policies. Not from guesswork.

What does an answering service for HVAC contractors do?

It answers customers at any hour, on the phone, on your website, or by text. It replies from your own material — your pricing, service area, warranty terms and policies — so the answers are yours rather than generic. It takes the caller’s details, flags emergencies differently from quote requests, and hands off to a person whenever anyone asks.

How it behaves

It answers from your material
We set it up from what you give us — your rates, your service area, your warranty terms, your brands, your policies. It answers those questions the way you would, and it does not improvise past them.
It will not invent anything
If you have not told it your diagnostic fee, it does not guess one. Questions it has no answer for become a callback with the details, not a made-up number you then have to honour.
It is not a replacement
Your people answer during the day. This covers the hours nobody is at the desk, and the calls that come in while every line is tied up — the ones you are currently losing entirely.
It says what it is
No pretending to be a person. Utah and Maine require that disclosure outright, and we do it everywhere regardless — a customer who feels tricked is worse than a missed call.
It hands off
The moment a caller asks for a person, it transfers or takes a callback number. It never traps anyone in a loop.
It knows an emergency
No heat in February gets flagged and sent to you differently than a request for a maintenance quote.
It works everywhere they reach you
The phone, the chat box on your website, and text. Same answers, same tone, whichever one they use.
Recording only where allowed
Several states require every party to consent before a call is recorded. We configure it state by state and default to off when it is unclear.

Questions about this

Will my customers know it is not a person?

Yes, because it tells them. It introduces itself as an assistant for your business, and it transfers to a person whenever someone asks. Utah and Maine require that disclosure and we apply it everywhere. We are not attorneys and will follow what your counsel specifies.

Does this replace my office staff?

No. It answers what nobody was going to answer anyway — nights, weekends, and the calls that come in while every line is tied up. Your team keeps the calls they were already taking.

Can it tell customers what I charge?

It can tell them exactly what you tell it. If you give us your diagnostic fee, your standard rates, or your service-call minimum, it quotes those. What it will never do is estimate a repair it has not been given a price for — that becomes a callback with the details, because a number you did not authorise is a number you still have to honour.

What if it gets something wrong?

It works from your material rather than general knowledge, which is what keeps it in bounds. It will not diagnose a system, commit to an arrival time you did not authorise, or answer outside what you gave it. Anything it cannot answer becomes a callback request with the caller’s number, and you can see every conversation.

Does it book the job as well?

Not on its own — booking into your calendar is a separate service, because it means connecting to your scheduling system and following your dispatch rules. This one answers, captures the details, and hands them to you. Plenty of shops start here and add booking later.

Why is this the last thing you recommend?

Because it is the biggest change to how your customers experience you, and it should come after you have seen us do the simpler work well. We would rather build your website, get your Google listing working, and only get here once we have earned it.

See what a customer sees.

Send us your business name and we will run a full audit of what somebody searching for you actually finds — site, Google listing, citations, reviews, and the three shops outranking you. Normally $2,000. Free, no call required.
